Microsoft Excel seems complex and at times unnecessary if you’re career doesn’t need it. However, at times, people find themselves having to use it, for example, when filing taxes or trying to tabulate their financial spending, and then realize how much Excel knowledge they lack. So, here’s a detailed guide on how to use Microsoft Excel.

Microsoft Excel Startpage

When opening Microsoft Excel, it’ll lead you to the Excel homepage where you can open an existing spreadsheet or a new template. The program lists your most opened files, shared and pinned files.  

If you don’t want to open an existing spreadsheet, you can choose to open a blank workbook, so select “blank workbook”. The page that opens is your work area so to understand how to navigate it, understanding the terminologies used is important. 

A workbook is a spreadsheet composed of several worksheets. You can add more worksheets depending on your needs. Click on the plus sign at the bottom and rename each depending on its use. To switch the worksheet, click on the tabs below.

The worksheet contains cells identified by X and Y coordinates, such as A1, B12. At the top, you’ll find all the controls you’ll need to operate the worksheet. It consists of Home, Insert, Draw, Formulas, and Data.

Formatting Cells in Excel

When formatting a cell in Excel, you’ll use the Home tab to access all tools. The software treats each cell as an indivisible unit. For example, you can’t have different fonts in a cell, so it’s going to have a unique formatting.

You can change the width of a cell by moving its edge. You can do this so that the content of the cell doesn’t overrun it. Also, you can format the cells to wrap text, or you can merge the cells into one.

Apart from this, when you right click on a cell, you’ll get other options such as insert cells, insert 1 row above, delete row, column and cells, among other formatting options.

Performing Simple Excel Calculations

This is one of Microsoft Excel’s primary functions. It allows users to do different arithmetic automatically using built-in formulas. To do a sum, click in a cell and then type = to signal a formula. Enter 1+2+3 and then hit Enter.

If you want to add different cells, in an empty cell, type = and key in their identifier number (A1+A2+A3) and then hit Enter, and it will calculate the sum. You can use this formula to do subtraction, division and multiplication.

How to Save and Print a Spreadsheet in Excel

The Microsoft Excel workbook can be saved in the cloud. During your working session, Excel saves your work, so if anything happens, you’re safe. To save the workbook, go to “File” and then select “Save As” from the File pane. Choose a location and click “Save.” You can also print a worksheet from the File tab. In the File pane, choose “Print” and select what you want to print in the Settings section.
